Executive assistant

Full Time Position

Liverpool Office

We are seeking a highly organised, proactive and detail-oriented Executive Assistant to support the firm’s Managing Partner and Business Operation Partner.
The ideal candidate will have the ability to handle confidential information and provide high-level administrative and strategic support.

Job purpose:
To provide exceptional administrative support, assisting with the smooth operation of the HR function, business operations and compliance for the practice.

Role responsibilities:
• Provide executive-level administrative support including managing calendars, scheduling meetings, and handling correspondence.
• Assist in the preparation of reports, correspondence, presentations, and executive summaries for senior management and board meetings.
• Serve as the primary point of contact for internal and external stakeholders on behalf of HR.
• Assist with the management of recruitment and selection operations.
• Coordinate and prioritise incoming communications, including emails, phone calls, and written correspondence.
• Manage special projects as assigned, ensuring deadlines are met and initiatives align with organisational goals.
• Handle confidential employee information with discretion, including personnel files, performance reviews, and HR compliance documents.
• Maintain organised filing systems including archiving, for legal documents, contracts, and other important materials.
• Assist in the planning and coordination of executive-level meetings, leadership off-sites, and other meetings.
• Support the onboarding and induction processes for new staff, working closely with the management team.
• Assist with employee relations issues, including scheduling meetings, drafting correspondence, and conducting research for investigations.
• Assist with maintenance and organisation of key HR documentation, including offer letters, contracts, and policy manuals.
• Conduct research and compile data to assist with HR strategy development and talent management initiatives.
• Collaborate with other administrative staff to ensure smooth office operations.

Qualifications and skills:

Essential
• 3-5 years of experience as an HR assistant or executive assistant, preferably within a corporate or HR environment.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Exceptional organisational and time-management skills.
• Strong verbal and written communication skills.
• Ability to handle sensitive and confidential information with professionalism and integrity.
• Excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment.
• Proactive and able to work independently with minimal supervision.

Desirable
• Degree or equivalent qualification in human resources, business administration, or a related field.
• Driving licence

Location
This role will be based in our Liverpool City Centre office. Hybrid working is available for discussion, after probationary period is successfully passed.
Please note, long-term this role will require office-based working for at least part of the week.
